myClubs lets members of the myClubs network book into your classes. Once it's connected, your chosen classes appear on myClubs, and the bookings arrive in CodexFit like any other booking.
After you set it up, you wait for myClubs to approve your studio, which can take a while because it's on their side.
Follow along
This step-by-step guide shows you how to add and set up myClubs, up to switching it on. The written steps below cover everything, including choosing which classes go on myClubs.
Before you start
- Agree terms with myClubs. Your contract, pricing and payouts are arranged directly between you and myClubs. CodexFit isn't involved in that part.
- Check your permissions. Your admin account needs the Manage configuration permission. If you can't see Integrations in Business Settings, ask the owner of your account to add it for you.
- Check myClubs is switched on for your account. If myClubs shows as "not configured" when you get to Step 2, contact CodexFit support and we'll switch it on for you.
Step 1: Create a credit type for myClubs visits
A credit type is how CodexFit records a visit that was paid for outside your own memberships. Giving myClubs its own credit type keeps its revenue separate in your reports.
- Go to Business Settings → Credit Types.
- Create a new credit type and name it something clear, such as "myClubs visit".
Want myClubs to show as its own payment method in your reports? Payment methods can't be added by studios, so contact CodexFit support and ask us to create a "myClubs" payment method. If you don't need this, you can use an existing one.
Step 2: Add and set up the integration
- Go to Business Settings → Integrations and click Add integration.
- Find myClubs and install it. You'll land on the myClubs settings page.
- Fill in these fields:
- Credit Type to generate for bookings: choose the "myClubs visit" credit type from Step 1. Only classes that accept this credit type are sent to myClubs.
- Payment Method to log when generating credits: choose the payment method these visits should be recorded under.
- Credit Value: what one myClubs visit is worth to you, including tax.
- Credit Tax Value: the part of that amount that is tax.
- Sandbox mode?: leave this switched off. It's only used for testing.
- Click Save.
Step 3: Switch it on and wait for myClubs to approve you
- On the myClubs settings page, click Enable.
- CodexFit creates a Partner ID for your studio and registers you with myClubs. You'll see it on the page, but you can't edit it.
- myClubs now reviews and activates your studio. When they do, Partner activated switches on by itself. You don't need to do anything.
Good to know: nothing is sent to myClubs until Partner activated is on, and how long that takes depends on myClubs. You can't do Step 4 until it's on, because your list of myClubs categories only appears after they activate you.
Step 4: Choose which classes go on myClubs
A class is only shown on myClubs when both of these are true:
- its event type has at least one myClubs category, and
- the class accepts the myClubs credit type.
Give your event types a myClubs category
- Go to Business Settings → Event Types.
- Open each event type you want to offer on myClubs and go to its myClubs tab.
- Choose a myClubs Category. You can choose up to 3.
Event types without a category are never sent to myClubs.
Let your classes accept the myClubs credit type
- Go to Events and open each class you want on myClubs.
- Add the "myClubs visit" credit type to its accepted credit types.
Step 5 (optional): Limit how many spaces myClubs can sell
By default, myClubs can book every free space in a class. If you'd like to keep some spaces for your own members, you can set a maximum.
- Contact CodexFit support and ask us to switch on the myClubs capacity limit. We only need to do this once for your account.
- Go to Events and select the classes you want to limit.
- Choose the bulk action Update Event Properties.
- Set myclubs_capacity to the most spaces myClubs may sell.
What happens next
- New and changed classes are sent to myClubs straight away.
- Every Sunday night, CodexFit does a full refresh covering the next 4 weeks, so anything that was missed is picked up.
- myClubs bookings show up in CodexFit as normal bookings. CodexFit automatically creates a "myClubs visit" credit to pay for each one.
My class isn't showing on myClubs
Check these in order:
- Is Partner activated switched on in the myClubs settings?
- Does the class's event type have a myClubs category?
- Does the class accept the myClubs credit type?
Still stuck? Contact CodexFit support and tell us the class name and date.
