CodexFit includes many reports to help you run your business day-to-day.

Report Name | What It Does |
Accounting: Bookings | A list of all bookings made for events between a set date range. Includes the value of the booking (optionally including membership revenue, in addition to retained credit values), as well as information about which customer and which event the booking was for. Customer and events can be expanded for further detail. |
Accounting: Credit Trace | Shows the history of a single credit, when it was purchased, and where it was used, when it expired, etc. |
Accounting: Credits | A list of all credits in customer accounts, that can be filtered by type (used, booked, expired, refunded), as well as by date (i.e. by date of creation, date of refund, etc). Includes the value of the credit, its status (used, unused, refunded, etc), as well as information about which customer owns it, and whether they or a staff member made the purchase. Customers can be expanded for further detail. |
Accounting: Events | A list of all events, with start date/times in a specific date range. Includes information such as the location, studio, event type and instructor. |
Accounting: Unused Credits | A list of all credits that are still available for use from the date specified (i.e. have not been used, expired, refunded). Includes the value of the credit, as well as information about which customer owns it, and whether they or a staff member made the purchase. Customers can be expanded for further detail. |
Attendance: Late Cancellations (Not Refunded) | A list of all bookings that were cancelled, but credits/subscription allowances were retained (i.e. cancelled late, and after the refund cutoff time). |
Attendance: No Shows | A list of all bookings that were made, but the customer did not attend. Includes information about the booking, whether credits or a subscription were used, and if subscription, which plan. Useful for monitoring customers who have unlimited usage plans and waste bookings. |
Bundles: Purchases | A list of all bundles purchased with the total number of purchases, how many total credits were sold as a result, how any unique customers purchased the bundle, total paid and tax. |
Bundles: Purchases (Detail) | A list of all credit bundles (not subscriptions) purchased between specified dates, ungrouped for more detail. |
Charges: Payments | A list of all payments made by customers (including failed) between two specified dates. |
Charges: Refunds | A list of all payments refunded to customers between two specified dates. |
Charges: Subscriptions | A list of all charges made to customers for subscriptions (included free and trial accounts). |
Customers: Active PAYG | A list of all customers who have credits available for bookings including how many credits they have active and their contact details. |
Customers: Active Bookings | A list of customers who have made bookings between the dates selected. |
Customers: New Subscribers | A list of customers who purchased a subscription within the date range and who have not purchased one given the existing exemption period. I.e. If a customer purchased a subscription today and you selected an existing exemption of 1 month and they previously purchased a subscription 3 months ago, they would show up in this report with the filter applied. But if you changed the filter to 3 months, they would not show up in the report. |
Customers: Registered | A list of all customers who registered in the selected date range. |
Events: Bookings (Historical) | This will effectively show you the same as you see on an event check-in screen and helps give you lists of all bookings for a specific event in the past. |
Events: Bookings (Upcoming) | This shows you all bookings in an event in the future (can also be accessed by going to the timetable and selecting the event then seeing the list on the event check-in view). |
Events: Utilisation | Lists all events for the selected date range to show the capacity of the studio, how many bookings were made, how many were retained (i.e. if someone cancelled and their credit/subscription was kept because it was cancelled late and they do not qualify for a refund), the % utilisation, what the event cost credit wise, how many credits were taken, the overall revenue generated by the event, how many slots in the event were given away for free (i.e. a goodwill credit), and then the amount due to the instructor if payroll is being used. |
Events: Waitlist | A list of all customers on a waitlist (can also be accessed by going to the timetable and selecting the event then seeing the list on the event check-in view waitlist tab). |
Events: Waitlists (All) | A list of all events given the selected date range with a total count of how many customers were on a waiting list per event. |
Gate: Attendance | A summary showing which customers tapped in (only available if you have access cards enabled). |
Gate: Attendance Breakdown | A list of all tapped in customers (only available if you have access cards enabled). |
Gift Cards: Value | A list of all gift cards created based on the date range selected and the value of the gift card. |
Instructors: Events Scheduled | A list of all instructors with the total number of events they instruct given the selected date range. |
Instructors: Payroll | A list of all events given a selected date range and the amount to pay the instructor for each event including base and bonus (if applicable). |
Instructors: Schedules | A list of all events an instructor is scheduled to instruct. |
Orders: Details | A list of each individual line item of an order including what order it belongs to, which customer purchased, what was purchased, the paid total, tax paid, discount applied, voucher used, external reference and status. |
Orders: Summary | A list of all orders (there will be one line per order) that includes the payment method, where it was purchased, total price, total tax, total of discounts, amount refunded (if applicable), an external reference (usually Stripe or a gift card number), the status and date created. |
Stock: Transfers | If you keep track of stock levels of products and also use the stock transfer functionality (i.e. moving stock between locations or receiving stock from a supplier), this report will show you all stock transfers given the filters applied, the date it was created, expected and received along with its status and any notes left on the transfer. |
Subscribers: Debtors | This report will show any customer with a subscription whose payment is now past due but not yet cancelled (i.e. this is in the retry window you set in Stripe to try to charge the customer if any attempt at payment fails). |
Subscribers: Leavers | This report will give a list of all customers who have had a subscription which ended including the subscription name and cancellation reason. Please note, this report will show a customer who had an immediate pause applied as leaving their previous subscription despite the fact that they may be moving to a new subscription. |
Subscribers: Now | A list of all customers who have an active subscription along with the subscription name, Stripe ID, billing date, price, total bookings allowed, bookings used, spent balance and unspent balance (to calculate this, we take the overall price divided by number of bookings allowed to get a per booking price). |
Subscribers: Status | A list of all customers during the period defined who had a subscription. This difference between subscribers now and status is that status includes plans which were active but also cancelled or not paid during that period. |
Subscribers: Subscriptions (deprecated) | A list of all customer subscriptions that are active at a specific date/time, including how many bookings have been made, billing/booking interval dates, book price, and associated invoice/charges. This report has been deprecated and will be removed at a future date. Please use "Subscribers: Subscriptions (with invoices between range)" which gives the same functionality with better reporting granularity. |
Subscribers: Subscriptions (with invoices between ranges) | A list of all customer subscriptions that are active between a date/time period, including how many bookings have been made, billing/booking interval dates, book price, and associated invoice/charges. Also includes the total of billing days, and realized revenue (in the case of an unlimited membership where the value cannot be calculated on a per booking basis, but instead on the monthly value divided by the total days that month). |
Subscribers: Usage | A list of all customer subscriptions that are active at any point between a specific date/time range, including both parts of billing cycles (such as where a subscription starts and finishes mid way through the report range). This report may be deprecated in the future and parts of it moved to "Subscribers: Subscriptions (with invoices between range)". |
Subscriptions: Invoices | This report will output a list of invoices that were a plan had a billing period during the date selected in the filter, i.e. if a customer had a billing period from the 20th to the 20th of the next month and you selected the 22nd, you would be given a single invoice that covers the billing period in question. Details in this report include invoice ID, billing periods, billing intervals, price paid, invoice status and Stripe status. |
Subscriptions: Upcoming Billing Dates | This report outputs a row per subscription for the next upcoming invoice and includes the customer details, subscription ID, subscription name and next invoice date. |
Subscriptions: Usage (beta) | A list of all customer subscriptions that are active between a specific date/time range, including how many tokens have been purchased, used, expired and remain unused (useful for calculating exposure over a period of time, are allocating "expired" tokens to a different financial pot). This report may be deprecated in the future and parts of it moved to "Subscribers: Subscriptions (with invoices between range)". |
Surveys: Overview | This shows you a summary of all surveys have created including how many customers have been sent the survey and the response rate. |
Surveys: Single Survey Detail | This will give you a row per response with what the customer replied with. This report is more useful if you want to do your own analysis of the data so you can calculate your own averages or extract any free text. |
Surveys: Single Survey Summary | This shows you a summary of all the responses for a specific survey. It is helpful to give you a snapshot view, for instance, of the average rating of the event if you used a range slider. |
UTM: Tracking | When a customer registers on your site, if they followed a link which contained UTM details (i.e. they followed a link from a social media campaign), CodexFit will store the UTM data on the customer and you can then run this report to help determine the success of your campaign. |
Videos: Views | This report will show you a summary of how many times each video in your on-demand library was viewed including total duration for the selected filtered dates. |
Videos: Views (Detail) | This report will contain a row for every view including what video was viewed and for how long it was viewed for. As opposed to the video: views report, this is not a summary and therefore allows you to see in more granular detail what customers were watching. For instance, if a specific video continuously gets watched for the entire duration or just for the first minute which may help you identify engagement with specific content. |
Vouchers: Redeemed | A list of every time a voucher was used including who used it and what specific voucher was used. |
Vouchers: Usage Count | A list of all vouchers used during the selected time period with a summary of how many times each voucher was used. As opposed to the vouchers: redeemed report, this report is a summary and therefore helps you see a quick count of how many times a voucher was used overall. |
