CodexFit allows you to setup gift card products which you can then sell via the CodexFit dashboard or on your website.
Gift cards allow customer to purchase credit bundles on your website or credit bundles and products via the dashboard. Purchasing of plans or subscriptions is not yet supported.
How Gift Cards Work
When a customer purchases a gift card, they will get a unique 16 digit code emailed to them which they can then use or share.
To use the gift card code, customers simply go to your website and in the pop-out cart/checkout, they type in the code into the existing voucher/gift card code box. After clicking apply, it will show the value remaining on the card.
If the gift card covers the entire cost of the order, they can checkout immediately. If there is then any value remaining, they can type in the code in a future checkout and they will see the remaining value which will be applied against that new order.
If the gift card doesn't cover the full cost of the order, then they will be asked to provide another payment method like an existing card on file or they can add a new card to finish their checkout.
Please note, if the order fails due to something like insufficient funds, the gift card value will remain on the gift card. If the order goes on to require SCA confirmation and the customer doesn't complete SCA confirmation, the value of the gift card will be deducted and we will wait for a period of time (between 24 hours and 2 weeks, configurable) for the customer to complete the SCA authorisation. If the customer still hasn't completed authorisation, then the gift card will automatically be refunded and the customer will receive an email notifying them that the value of the gift card is available again for use.
On a successful order, you will see in CodexFit that an individual order would then have a payment method call gift card used. Just like refunding to a credit card, you can click on refund on the gift card payment which effectively puts the money back on the gift card so the customer can use the same code again.
Setting Up Gift Card Products
Setting up a gift card is exactly the same process as setting up a product.
- Login to your dashboard: [companyname].codexfit.com
- Under settings-->products, bundles, plans and gift card products click on gift card products
- Click create gift card product
- Name your gift card
- Set the price and tax
- Decide if the gift card should expire (i.e. 1 month after purchase). If you do not provide an expiry, the gift card will never expire.
- Make visible, if desired.
- Click create.
- The next step will ask you if you want to update this variant - if the gift card you're setting up will only ever one have value, then click update and you're done. However, if you're setting up multiple prices of gift cards, then you can continue to add more variants. Click on create a variant and add a price, then click on create and add another.
- You can then go back to the product and click view to create further variants later, too.
Alternatively, you can create another gift card with a single value.
Deciding whether to use a single gift card with multiple variants vs multiple gift cards of different values ultimately achieves the same result but it's mostly about how you want to present the gift cards.
In the CodexFit dashboard, when purchasing for a customer, if you opt to use variants, when an admin for FOH is purchasing a gift card, the different values will show up under a single gift card product in a dropdown of values. Alternatively, if you setup a single value per gift card product, they will show up as a grid of multiple single price gift card products.
If you opt to show gift cards on your website (please contact your project manager as this is an addition to your website which would require additional development), if you have a single gift card with variants, a single "gift card" product will be shown with a dropdown to select the value and if you set up as multiple products, the gift card will show up multiple times.
Updating the Gift Card Email
Whenever a gift card is purchase, a customer will get an email with their unique 16 digit code. They can forward this email to a friend or copy and paste the code to share.
If you would like to edit the email that is sent, you can navigate to email template and find the gift card email to update the content. Make sure you keep the variable to display the code in the email in what you edit: {{ gift_card_value }}
Selling Gift Cards
Within CodexFit Dashboard
Once you get done setting up gift cards, these will now show up when you click on purchase in the CodexFit dashboard under a new tab in the purchasing area called gift cards:
FOH or admin can select which gift card or gift card variant they want to purchase and add to cart. Then simply checkout and the customer will be sent the code. The code will also display on the order success pop-up.
Selling Gift Cards on Your Website
If you want to display gift cards for customers to purchase on your website, and you have an existing site, you will need to contact your project manager to request a quote as this is a change to the website to integrate new functionality. However, if you sell gift cards via the CodexFit dashboard, all customers will be able to use a gift card in the cart/checkout automatically.
Viewing Gift Cards
If you want to see all gift cards that have been generated, you will see a new gift cards area in the navigation below scheduled subscriptions.
The 16 digit code will show up in this listing for a few minutes after the gift card was created in case you need to copy and paste it. However, it will then be hidden as this is effectively like currency.
Send a Gift Card Code Reminder
Although CodexFit will automatically send a gift card code upon purchase, you can send a reminder with the code to the original customer who purchased it. To do this, navigate to gift cards and find the gift card. Then tick the box and near the upper right corner of the listing, select to send a gift card reminder in the dropdown.
Update Gift Card Expiry
You can also change the expiry of a gift card by following the same process of sending a reminder but instead, select Update Gift Card Expiry in the dropdown and select a new date.
Issuing a Free Gift Card
If you would like to issue a gift card to a customer for free (i.e. as a goodwill gesture), you can do this by navigating to the customer's profile of who you want to give the gift card to. Then in the upper right corner in the select action dropdown, select to issue a gift card entering the value and expiry. The gift card code will be sent to the customer immediately after you complete this action.
How to use a Gift Card
Customers can type in the gift card code in the same box where the voucher would have been input before (the input will now say "Enter Voucher/Gift Card Code."
After typing in the code, the value remaining will display. Please note, customers can type in a gift card or voucher code before they add anything to cart so they can do this if they just want to check the value.
If the gift card covers the full value of the order, they will simply be shown a checkout using only gift card button. If the gift card covers a partial amount of the order, they will be told this and asked to select another payment method to cover the rest of the order's cost.
In the backend dashboard of CodexFit, you can also type in a gift card code in the same field as the voucher code and the same applies as when a customer checks out on the website. The remaining value will be shown and either you can checkout immediately if it covers the full cost or select the payment method to charge the remaining order to.
Gift cards will only work on bundle purchases on your website and bundle/product purchases on the backend dashboard.
What happens if SCA authorisation is required on an order that used a gift card?
If a customer checks out and an SCA check is required (either immediately on the website or via an email due to checking out in the backend dashboard), the value of the gift card will be deducted and held until the SCA check either is completed or if the SCA check is cancelled automatically by CodexFit up to 24 hours later.
If the SCA check isn't completed or failed, the value of the gift card will automatically be refunded back to the customer within 24 hours and the customer will receive a notification to alert them that they can then use the same code again for another purchase.
